Speakers' and Poster Instructions

Speakers' Instructions:

  • Contributed presentations are 15 minutes including discussion

  • Invited presentations are 30 minutes including discussion
  • Tutorial presentations are 60 minutes including discussion
  • Keynote presentations are 45 minutes including discussion
  • Plenary presentations are 1 hour or 45 minutes (for Prof. Betzig and Prof. Hell) including discussion.


AV Provided for the presentations

To ensure that the programme runs smoothly, all speakers are requested to upload their presentations prior the conference begins. Each presenting author will receive an email from a company named M-events Cross Media GmbH (phone: +49 89 189659322, approx. 2 - 3 weeks prior the conference begins containing all detailed information including upload-link, log-in data, upload guide, etc. Authors may send additional files, make changes to files already sent. Online upload will be possible from now to 25 June 2015. Please note that all files will be destroyed after the conference. In case you did not receive the email, please feel free to contact M-events directly: Ms. Gertraud Kurz, email: (phone +49 89 189 65 93 35). When sending the email, do not forget to give your paper details.

Presentations should be uploaded in advance so that the format can be checked by M-events; if this should not be possible, the presentations can be uploaded on-site in the Speakers' check-in located in Hall B0 (ground level next to the ICM). Every Speaker should, however, be informed that if she/he does not upload her/his presentation in advance there is no guarantee that the presentation can be checked concerning the technical compatibilty.



Note: All presentations must be uploaded in advance to the network. Own laptops cannot be used in the rooms.

Guidelines for presentation formats:
Only presentation material in the form of MS-PowerPoint 2010 or earlier versions (*.ppt and *.pptx) with a screen ratio of 4:3 and a minimum resolution of 1024x768 will be accepted. If you are using PowerPoint 2007 or older please do not forget to submit any videos as separate files as PowerPoint will not have embedded them into the presentation. Only MS Office standard fonts are supported. Custom fonts cannot be embedded.

Please note: Even though there are more than 20 uploading stations available at the Speakers' Check-in, there might be waiting periods at peak times.

Main functions of the session chair presiding the sessions:
- Introducing the speakers;
- Making sure the speakers stay within the appropriate time limits;
- Helping generate discussion;
- Reporting any AV, light, room problems, to the technical staff.

The meeting rooms contain the following:

  • LCD projector
  • Podium microphone and/or wireless lavalieres
  • Projection pointer

Laser pointers are not be supplied. Internet access will not be available during the presentation.

Poster Instructions:

Posters are a major attraction and provide an intimate interaction between the presenter and the viewer. To allow participants to see as many posters as possible, all CLEO®/Europe-EQEC 2015 posters will be displayed in the Hall B0 (ground floor) next to the ICM centre. The conference will feature 5 poster sessions taking place from Sunday to Thursday after lunch time.

Poster time schedules:

  • Sunday: 12:30 - 13:30 (CA, CC, CL, CM and EE topics)
  • Monday: 13:30 - 14:30 (CB, CK, ED, EG and JSV topics)
  • Tuesday: 13:00 - 14:00 (CD, CE, CI, CN, EC, EI, JSI, JSII and JSIV topics)
  • Wednesday: 13:00 - 14:00 (CF, CJ, EB and EH topics)
  • Thursday: 13:00 - 14:00 (CG, CH, EA, and EF topics)

There will be no oral presentations during this time.
All authors are requested to display posters on their allocated boards on the morning of their assigned poster day. In order to present their work and answer questions, they are requested to be present in the vicinity of their poster during that day between the assigned time schedule. The schedule of the poster sessions is presented on the respective pages of the advance programme.

No show
During the poster sessions, the posters will be physically checked. In case of no presentation at the assigned place, the poster presentation will be discarded from the publications.

Each author is provided with one board on which to display her/his poster. Two kinds of poster boards will be supplied. In any case, so that the poster can be easily read, the size of the poster should not exceed 100-105 cm wide x 150 cm high. Tape to fix the posters will be provided (pins cannot be applied).

Type 1: 108 cm width x 188 cm highType 2: 110 cm width x 160 cm high
In any case, the maximum size of the poster should not exceed 100-105 cm wide x 150 cm high.
